WEILL CORNELL MEDICAL COLLEGE POSITION DESCRIPTION
Position: Administrative Aide II (Grade 5)
Department: Research and Sponsored Programs
FLSA Status: Non-exempt
Division: Research Integrity
Reports to: Institutional Review Board (IRB) Coordinator
I. Position Summary:
Under direction of the IRB Coordinator, performs tasks as assigned to support the administration of the WCMC IRBs.
A: Performs data management activities; maintains and updates computerized database for the IRB; creates and gerates computer based formes, document templates, and mail merges; conducts database searches; creates reports for various departments listing current research protocols.
B: Attends Committee meetings; takes detailed minutes of meetings; compiles and composes minutes detailing the Committee actions; formats minutes to be submitted to the IRB and Medical Board.
C: Generates continuing review requests for protocols; reviews request for completeness; contacts investigators for additional information as needed; processes renewals and assigns requests for committee review; prepares correspondence relating to Committee actions regarding substantive/non-substantive issues and approval/termination letters; electronically stamps consent forms.
D: Prepares Addendum to Agenda and review sheets; assigns protocol responses and revisions, determined to be substantive by the IRB, to committee members for review.
E: Reviews non-substantive response to committee questions and non-substantive revision requests before submitting to the committee chairperson for review; prepares correspondence based on that review.
F: Maintains various paper and electronic files, including confidential research files, reviewer sheets, protocols and general files.
G: Provides assistance and information to the RASP Grants Administrators with regard to IRB protocol status, protocol titles and number, and other issues related to grant processing.
H: Disseminates general information to investigators regarding the status of IRB protocols; disseminates information regarding Committee deadlines, meeting dates, etc.; answers questions from researchers regarding submission procedures.
I: Answers and screens telephone calls; responds to general inquires; provides initial contact to patients calling with inquires regarding their rights as a research subject; provides information regarding active research projects that patients can participate in.
J: Performs other job related duties as required. Occasionally presents at IRB educational workshops.
K: Advise or consult with investigators and coordinators in preparation for IRB submissions.
L: Ensure IRB performs pediatric risk assessments on studies using minors - review at convened meeting.
MINIMUM REQUIREMENTS:
B.A. degree required. CIP certification preferred. 3 years’ related experience required; Excellent organizational, analytical and communication skills required; proficient in word processing and database applications; prior related experience preferred.
