Position: IRB Coordinator
Department: Research and Sponsored Programs

Reports to: Director, Human Research Protection Program
I. Position Summary:
Under the direction of the Assistant/Associate Dean for Research Integrity and the Director of Human Research Protections, the IRB Coordinator is responsible for the day to day management of the IRB staff for both of the WCMC IRBs, including managing staff & committee work-flow, and assisting in the development of the IRBs’s policies & procedures.
1. In consultation with the Assistant/Associate Dean and IRB Director, establishing policies for the IRB staff.
1. Oversees and assists the IRB staff in: performing data management activities, maintaining and updating computerized database for the Institutional Review Board (IRB), creating and generating computer based forms, document templates, and mail merges, conducting database searches, and creating reports for various departments listing current research protocols.
1. Overseeing the staff implementation of the electronic IRB system.
1. Attending IRB Committee meetings and overseeing the staff’s taking and composing minutes of meetings.
1. Oversees and manages all aspects of the general workflow for the review for protocols by staff and IRB members.
1. Oversees the staff in preparation of meeting agendas, including the determination of level of review and the assigning of reviewers.
1. May be appointed by the IRBs Chair(s) to serve on the IRBs and act as an expedited reviewer for expedited responses to committee questions, amendments, and continuing reviews.
1. Acts as the liaison between the IRB members and IRB staff in all aspects of the IRB staff’s support of the committees functioning.
1. Oversees the maintains of various paper and electronic files, including confidential research files, reviewer sheets, protocols and general files.
1. Acts as the IRB staff liaison to provide assistance and information to the RASP Grants Administrators, Institute for Clinical Research (ICR), and CTSC with regard to IRB protocol status, protocol titles and number, and other issues related to grant processing.
1. Acts as the IRB liaison with the Conflicts Advisory Panel (CAP) to ensure that researchers submitting IRB protocols are in compliance with all of the CAP requirements.
1. Coordinating the IRB staff to provide support as necessary to the Assistant/Associate Dean in dealing with cases of research misconduct.
1. Oversees the IRB staff’s dissemination of general information to investigators regarding the status of IRB protocols, IRB deadlines, meeting dates, etc.
1. Performs other job related duties as required. Occasionally presents at IRB educational workshops.
1. Overseeing and providing guidance to the staff in advising and consulting with investigators and coordinators in all aspects of IRB submissions.
1. Ensuring that the IRBs consider all necessary regulatory and other considerations in their review of protocols both during and outside committee meetings.
1. Scheduling the IRBs meeting dates and submission deadlines.
1. Maintaining current IRB rosters.
REQUIREMENTS:
B.A. required. However, significant related experience can substitute for formal education. Minimum of 6 years related experience required, at least 4 of which are directly related to IRB committee management at a major academic medical institution. Extensive technical knowledge of the functioning of IRBs, including extensive knowledge of the technical requirements of the federal regulations that govern human subjects research, state laws governing research, and WCMC policies. Excellent organizational, analytical, and communication skills required; proficient in word processing and database applications. Prior management experience preferred.
